Who we are

Living Well Books operates the KDP Ready website and services, including the private ColourOOh Studio production workspace. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018), Living Well Books is the data controller for personal data processed through these services.

What data we collect

• Account details: your email address and authentication details when you create an account.
• Publishing applications and submissions: the author and book details, declarations, messages and any files you send us through the application form, publishing submissions or customer panels.
• Book files you upload: manuscripts, interior PDFs, cover artwork, images and photos, so we can format, convert or prepare them for KDP publishing.
• Payment data: payments are processed by Stripe. We receive your email address, plan and billing period; we never see or store your full card details.
• Usage data: records of credit and allowance use, orders, exports and service activity needed to run your account correctly.
• Communications: emails or messages you send us about your books, orders or applications.

How we use your data

• To provide the services you have paid for: converting files, preparing interiors and covers, running KDP pre-flight and exports, and delivering downloads.
• To manage your account, subscriptions, credits and allowances, including monthly resets and refunds for failed paid generations.
• To review publishing applications and Living Well Books submissions, and to contact you about them.
• To provide customer support and respond to your enquiries.
• To keep the service secure, prevent abuse and maintain records of what we have delivered.

Our legal bases

• Contract: providing the services, processing payments and managing your account.
• Legitimate interests: securing the service, keeping service records, and improving how the service works.
• Consent: where you explicitly agree, for example when you tick a declaration on an application form.
• Legal obligation: keeping records required by tax, accounting or consumer law.

Artificial intelligence processing

Some features use artificial intelligence services — for example generating cover artwork, illustrations or written chapter content. Text and image prompts, and where the feature requires it, your uploaded artwork or reference images, are sent to our AI providers purely to produce your results. Files you explicitly mark as your own (such as your own uploaded covers, photos or interior pages) are used only for formatting and are never sent to AI image generation. We do not use your books or uploads to train AI models.

Sharing your data

We never sell your personal data. We share it only with the providers needed to run the service:

• Stripe — payment processing.
• Our hosting and database provider — running the website, accounts and secure file storage.
• AI providers — only for the AI features described above.

If you publish through Living Well Books, your book files may be shared with Amazon KDP as part of the publishing work you have asked for, and only with your agreement. We may also disclose data where the law requires it.

Where data is stored

Data is stored on secure infrastructure operated by our hosting provider. Book files in private storage are only accessible to you (through signed, expiring links) and to the service itself.

How long we keep your data

• Account and project files: kept while your account is active so you can keep editing and re-exporting your books. When you delete a project, its files are removed, except files another record still refers to.
• Customer conversions after export: after a successful export, conversion files are kept for 7 days so you can re-download, continue editing or delete them, then automatically removed. Paid AI cover attempts you selected are kept so your cover is not lost.
• Publishing applications and submissions: kept while your application is under review, and for a reasonable period afterwards in case you return to it.
• Payment and service records: kept for the period required by tax and accounting law.

Your rights

You have the right to:

• Ask for a copy of the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your personal data (this does not affect data we must keep by law).
• Object to or restrict certain processing, or ask us to port your data to another provider.
• Withdraw consent where processing relies on it.
• Complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how we handle your data — please contact us first so we can try to put things right.

Children

Our services are intended for adults. While books may be created for children, we do not knowingly collect personal data from children. Please do not include children's personal details in forms or messages.

Changes to this policy

If we change this policy materially, we will update this page and, where appropriate, let account holders know by email.
